Overdue invoice emails for creators
This page is not legal, tax, financial, or other professional advice. For a live deal, talk to a lawyer and a tax or finance specialist in your jurisdiction — BlueRateCard is not either.
Three emails, three temperatures
Keep one thread. Same subject root so AP can search: “Invoice INV-1042 — $1,450 — due 12 Aug”. Change only the prefix: Reminder / Follow-up / Formal notice. Paste wire details every time; never assume they still have the first PDF.
Due day (Day 0)
Tone: calmSubject: Reminder — Invoice INV-1042 ($1,450) due today. Body: “Sharing a quick reminder that invoice INV-1042 for the [SKU] delivered on [date] was due today. PDF attached. Please confirm receipt and the date payment will leave your side (within 3 business days works on my end). ACH: [details]. Thanks — [Name].” Friendly. No late-fee lecture yet.
Day +7
Tone: firmSubject: Follow-up — Invoice INV-1042 ($1,450) 7 days past due. Body: “Invoice INV-1042 remains open ($1,450). Delivery: [URL]. Per our terms I am pausing any remaining unpaid deliverables on this campaign as of today. Please CC accounts payable and reply with a scheduled pay date this week. Late fee of [X%] begins per the SOW if unpaid after [date].” Attach PDF + delivery proof.
Day +14 formal
Tone: formalSubject: Formal notice — Invoice INV-1042 ($1,450) — cure within 7 days. Body: “This is a formal notice that $1,450 on INV-1042 is 14 days overdue. Work product was delivered on [date] per [brief/SOW]. Please remit within 7 calendar days. If unpaid, I reserve all rights under our agreement, including suspending usage permissions that are conditioned on payment and pursuing collection. This message is not legal advice to you; I am documenting the debt. Pay to: [rails].” CC marketer, finance, agency lead.
Subject lines that get opened
Marketers ignore “Hey circling back!!” Finance ignores inspirational sign-offs. Lead with invoice ID and amount. On day +14, “Formal notice” is a feature — it routes to someone who can approve a wire. If the only address you have is a Gmail for the intern, ask once for AP and state you will escalate to the domain’s general counsel contact if none appears by Friday — then actually escalate with facts, not insults.
| When | Subject pattern | Must include in body |
|---|---|---|
| Day 0 | Reminder — INV-# ($amount) due today | PDF, rails, ask for pay-by date |
| Day +3 (optional) | Checking receipt — INV-# ($amount) | Who owns the PO? |
| Day +7 | Follow-up — INV-# 7 days past due | Pause work + late fee pointer |
| Day +14 | Formal notice — INV-# — 7-day cure | Delivery proof + rights reserved |
Optional day +3 sits between templates 1 and 2 if the deal is over ~$2,500 or ads are live on your asset.
Day +30 handoff (still email, not a lawsuit)
If the day-14 cure expired with silence, send one more message before you spend money on counsel or small claims. Goal: a named decision — pay date, partial settlement offer, or “we dispute” in writing — not another vague “looking into it.”
| Element | Put this | Skip this |
|---|---|---|
| Subject | Final email notice — INV-# ($amount) — 30 days overdue | ALL CAPS threats or emoji |
| To / CC | Marketer + AP + agency lead + any counsel alias you were given | Blasting every @ on their website |
| Body core | Timeline of Day 0 / +7 / +14, amount, delivery URL, 7-day final pay-by date | Moral essays or follower counts |
| Attachment | Statement of account + prior notices PDF pack | New free Story “to restart goodwill” |
| Close | “If unpaid by [date] I will decide on collection options with counsel.” | Fake lawsuit case numbers |
Example: INV-1042, $1,450, Day +30 = 11 Sep. Final pay-by = 18 Sep. After that, use the recovery timeline and demand-letter checklist — not a fourth soft reminder.
Keep the brand-didnt-pay calendar as the master clock; these emails are the voice track. If ads are still live on your unpaid asset at Day +30, say so once with a screenshot attached — that fact often moves finance faster than another “circling back.”
What never belongs in the chase
- Threats you will not follow through on (“I’ll sue Monday” with a $400 balance and no counsel).
- Public call-outs while a cure window is still open — document first, broadcast never as plan A.
- New free deliverables “to keep momentum” while the invoice is open.
- Tax lectures or moral essays — stick to dates, amounts, and attachments.
- Editing the invoice total downward in email without a credit note — keep the paper trail clean for your tax specialist.
A clean three-email sequence recovers more money than twenty anxious DMs. Pair it with a recovery calendar and, on the next deal, a platform payment hold so the only email you send is a receipt. Creators who professionalize chase copy look like vendors AP understands — which is exactly how you get paid.
If they reply with a quality dispute you never heard during the revision window, answer once with the acceptance record and keep the payment ask unchanged. Do not renegotiate the fee inside the chase thread unless you intend to issue a formal credit. Ambiguous “maybe we can meet halfway” replies without a wire date are still non-payment — restart the cure clock in writing.

Overdue email questions
+Should the due-day email still sound friendly?
Yes. Day 0 is a receipt check, not a threat. Short, specific, PDF attached, ask for a pay-by date within three business days. Save formal tone for day +14.
+Do I copy finance on the day-7 follow-up?
If you have an AP or billing alias, yes. If you only know the marketer, ask them to forward and CC you — then add any finance address they name on every later email.
+What attachments go with a formal day-14 demand?
Original invoice, delivery proof (URL or transfer receipt), the signed brief or acceptance email, and a one-page statement of account. Do not attach unfinished drafts or rant screenshots.
+Is email enough or do I need certified mail?
Email creates a timestamp trail for most creator balances under a few thousand dollars. For larger unpaid fees, ask a lawyer whether certified mail or a counsel letter is worth it in your jurisdiction — do not improvise “legal notices” from TikTok templates.
+How many follow-ups before I stop work on other SKUs?
Stop unpaid remaining deliverables by day +7 in writing. Other brands on your calendar are unrelated — do not punish them — but do not start a new package for the delinquent brand until funds clear or sit in a payment hold.
+What if they only reply in Instagram DMs?
Paste a one-line summary back into the email thread: date, amount, what they promised, and “confirming in email for AP.” DM-only promises are hard for finance to act on and weak if you later need a demand letter. Keep chasing in email even if they prefer chat.
Fewer chase emails, more prepaid holds
BlueRateCard collects before you create. Brands fund a platform payment hold (Stripe delayed payout — not a legal escrow account), you get a 48-hour brief veto, and you keep 100% of your rate. Brands pay 5% per deal, capped at $100. Free for creators — join the waitlist.
