Guide

Brand ghosted your invoice

Ghosting is a communications failure with a dollar amount attached. Climb a fixed ladder — marketer, finance, formal demand, stop work — instead of sending friendlier versions of the same ignored email. Silence is data; escalate on a clock.

This page is not legal, tax, financial, or other professional advice. For a live deal, talk to a lawyer and a tax or finance specialist in your jurisdiction — BlueRateCard is not either.

Escalation can become a legal dispute. This ladder is operational, not legal advice. For serious balances or active ads on unpaid work, speak with a lawyer before threats or takedowns.

Escalation ladder

Each rung needs a new human or a new legal temperature. Repeating “hi just bumping” is not a rung. Move when the clock says so — typically day 0 reminder, day +3 second contact, day +7 finance + stop work, day +14 demand.

1. Marketer / brief owner

Rung 1

They bought the SKU. Day 0–3 lives here. Ask who owns the PO and when the payment run hits. If they say “I’ll check with finance” twice with no CC, they are not checking.

2. Finance / AP

Rung 2

Day +3 to +7. Email ap@, billing@, or the finance name from the PO. Attach INV + delivery proof. Subject with amount and days past due. Marketers ghost; AP systems need documents.

3. Formal demand

Rung 3

Day +14. Cure window (7 days), reserved rights, CC agency lead and any VP who signed. Keep emotion out; keep exhibits in. This is the email you later show counsel.

4. Stop work / suspend extras

Rung 4

Declare in writing: no remaining deliverables, no new packages, no licence expansions until paid. If contract allows licence suspension for non-payment, say you are reviewing that option with counsel — do not bluff capabilities you lack.

Reading the silence

Not all ghosts are equal. A marketer on leave without an out-of-office is still a process failure — finance should still exist. An agency that stops replying after the client paused budget is floating you; climb to the brand domain. A brand that keeps running Spark Ads while ignoring INV-1042 is not broke; they are prioritizing media over talent pay. Screenshot the ads on rung 2.

Worked ladder: INV-1042 for $2,400

Do not cut the balance to “get it done.” Ghosting brands train on discounts.

What stop-work looks like in one paragraph

“As of [date], unpaid invoice INV-1042 ($2,400, due [date]) remains outstanding. I am pausing all remaining deliverables on this campaign and will not accept new briefs from [Brand] until the balance is paid in full or placed in a platform payment hold. Please route payment to [rails] and confirm in writing.” Send it once. Do not soften it in Slack five minutes later.

  • Keep a single PDF folder: SOW, INV, delivery, every rung’s email.
  • Do not negotiate scope discounts inside a ghost thread.
  • If they reappear with a new campaign and silence on the old INV, refuse bundling.
  • Public pressure is a last resort after counsel — not a day-+5 tactic.
  • After payment, require a platform payment hold on any reunion deal; trust reset is a process, not a brunch.

Ghosting ends when a new inbox owns the problem or when you stop supplying free hope. Climb the ladder on dates, document everything, and put the next brand on prepaid rails so the only ghost left is the one in your unused recovery spreadsheet.

Ghosted invoice questions

+What does a $2,400 ghost ladder look like day by day?

INV-1042 ($2,400) due Friday: Day 0 is Saturday (first calendar day after due) — Sat reminder to marketer. Tue (+3) escalate to AP with PDF + delivery proof. Next Fri (+7) pause remaining work in writing. Fri (+14) demand with 7-day cure. Same dollars every email — never invent a “friendly discount” inside a ghost thread.

+How long do I wait before escalating past the marketer?

If they go silent after the due-day reminder, escalate by day +3 to any second contact you have, and by day +7 insist on a finance alias. One polite ping is courtesy; three to the same mute inbox is self-harm.

+Where do I find the brand's AP or finance email?

Ask once in writing. Check the SOW, PO, agency insertion order, and the domain’s standard ap@ or billing@ pattern. LinkedIn finance managers at mid-size brands often reply when marketers vanish — keep it factual.

+What belongs in a demand letter before stopping work?

Stop-work can precede a formal demand for unpaid extras; for the core fee, day-+7 pause and day-+14 demand are the usual pair. Include amount, INV #, delivery proof, cure deadline, and reserved rights. Have a lawyer review if the balance is large.

+Should I pull posted content if they ghost the invoice?

Only if your agreement lets you take it down or suspend licences for non-payment — and understand platform/optics risk. Ask a lawyer before you delete a collab post that is mid-flight in ads.

+Can I refuse future packages until the old invoice clears?

Yes. Say so in one sentence: no new briefs, no holds, no “quick Stories” until INV-# is paid or in a payment hold. Ghosting brands love parallel open jobs.
